Job Description

We are currently recruiting for a full-time Administrative Assistant to support our national head office in Vancouver. The successful candidate will be a welcoming and friendly individual who is mature, organized and has exceptional customer service skills.

Responsibilities of this position include:

  • Meet and greet all visitors to the Head Office. Answer main Head Office phone line, screen incoming calls, transfer calls to the appropriate department and/or person and take messages when required
  • Monitor and review emails that come through reception@cactusclubcafe.com on a daily basis. Redirect to the appropriate Head Office department to ensure timely responses
  • Sort all mail, fax, and courier packages; incoming and outgoing to/from the office
  • Act as the in-house travel consultant. Manage all travel requests for Operations, Restaurant Management, and Head Office team members as requested
  • Monitor office equipment in the Head Office, arrange for any deficiencies to be fixed and maintain office inventory to ensure offices supplies are on hand when needed
  • Compile, prep and send store packages weekly
  • Other duties as assigned

Qualifications and Attributes:

  • Experience in an administrative role is an asset
  • Post-secondary education is a highly valued asset
  • Strong working knowledge of Microsoft Office (Word, excel) and Google Applications (Gmail, Calendar)
  • Excellent written and verbal communication skills
  • Strong organizational skills and detail oriented
  • A customer service focus and ability to forge strong working relationships
  • Works well independently and as part of a team
  • A high level of professionalism, entrepreneurial spirit and “can-do” attitude
