Job Description

Currently recruiting FULL-TIME TEMP TO PERMANENT Executive Assistant for Real Estate client in Whitby. Own vehicle required for local travel.

Tasks and Duties

  • Ensure insurance policies are up to date, get quotes before renewal
  • Deal / Work with lawyers, vendors, trades, bookkeeper
  • In-direct property management (coordinating with Property Manager while employer is away, counting laundry money)
  • Reconciliation of accounts
  • Preparing and distributing joint venture documents
  • Onboarding of coaching clients
  • Schedule and confirm appointments of employer
  • Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow information
  • Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
  • Put together investor packages (property information)
  • Deal with private sales
  • Compile data, statistics and other information to support business activities
  • Organize presentations, monthly meetings
  • Answer telephone and electronic inquiries and relay telephone calls and messages
  • Arrange travel schedules and make reservations
  • Solicit property sales listings from realtors, maintain a network
  • Errands, if required, such as bank deposits, printing pick up, etc.
  • Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from dictation and handwritten copy
  • Order office necessities and maintain inventory of presentation supplies
  • Set up and maintain manual and computerized filing systems
  • Determine and establish office procedures
  • Other duties as assigned

Qualifications

  • College or University diploma
  • Minimum 3-5 years of experience in Administration
  • 3-5 years of experience in customer service
  • Social media, WordPress and Receipt Bank knowledge a definite asset
  • Real Estate or Mortgage sector experience an asset
