The Hamilton Convention Centre by Carmen’s is one of Canada’s first full service, privatized  convention and event facilities located in the heart of downtown Hamilton.  It is the largest event venue in the City of Hamilton capable of producing exceptional events. The Hamilton Convention Centre is part of Carmen’s Group; an entertainment and hospitality company committed to creating extraordinary experiences to our clients and guests. OPPORTUNITIES WILL INCLUDE: Plan, organize and finalize all event details to ensure client satisfaction on the day of the event. Attend sample tastings when necessary, ensuring client satisfaction, answering any questions regarding event details, menu, pricing, décor etc. Assist clients with upgrades that enhance the experience of their guests. Create floor plans for events, as well as reviewing clients’ floor plan for accuracy and calculation of seated guests. Prepare invoices on a weekly basis and invoice clients for any outstanding balance owed on their contract, prior to the event taking place. Respond to all email and phone inquiries, including sales inquiries, confirmation of event details, questions and concerns from clients in a timely manner. Use of Caterease to track, solicit, book, and follow up on accounts. Assist with reports, competitive analysis, and marketing material updates including packages and collateral. Ordering and confirming the delivery of appropriate linen colors, sizes, styles, and quantities. Develop knowledge of market trends, competition and customers. Introduce and recommend preferred vendors for event services, including: florists, décor, set-up and day of coordination professionals, lighting and DJ services, event rental companies, etc. Maintain good working relations with Carmen’s preferred vendors and ensure adherence to event space, policies and regulations, and submitting of the purchase order related to their services. Maintain solid and open communication with all the operating departments Build partnership with maître’d, supervisors, set up crew, chefs and key servers in order to ensure that the service standards are maintained Attend sales, operations & Carmen’s Group meetings as necessary Review all upcoming events, ensuring files have appropriate documentation Resolve guest complaints when necessary. REQUIREMENTS: Post-Secondary education, specialization in Event Management, Professional Event Planning, Tourism, Hospitality Management, Social Sciences, or Arts preferred. Experience as an event coordinator and/or catering. Food and Beverage knowledge. Knowledge of Caterease, Social Tables, and Windows based programs. Excellent interpersonal and communication skills, written and verbal. Strong organizational and time management skills. Strong sense of exceeding in providing quality service to our internal and external customers. Assertive and self-motivated, being able to work with minimal supervision. Possess high degree of professionalism. Must be able to enjoy and thrive in busy and stressful environment.
